As a Workspace Owner, you can add users, assign roles, and manage seat capacity for your organization. This article explains how user seats work and how to add, edit, or remove users from your workspace.
About user seats
Your subscription includes a fixed number of seats, which represents how many users you can add to your workspace.
You can view your seat usage in:
Business Settings → My Tokens / Seats
Example:
Seats: 5
Users Management: “1 of 5 users assigned”
This means:
1 seat is in use
4 seats are available
Up to 4 additional users can be invited
To increase your seat capacity, click Add More Seats to upgrade your subscription.
User roles and permissions
Pergamon supports two user roles. Each role determines how the user can interact with the workspace.
User Role Overview

| Viewer | Read-only access; cannot edit or translate content | Cannot use any tokens |
Add new users
To add a new user:
Go to Business Settings → Users Management and click Add User.
Enter the required user details, including Name, Surname, Email, Department (optional), and User Role (Editor or Viewer).
Click Save.
The new user will be added and will receive an invitation email to activate their account.
Edit an existing user
You can update user details at any time.
To edit a user:
Go to Users Management.
Click the Edit (pencil) icon next to the user.
Update the role or department.
Click Save.
Changes take effect immediately.
Unlocking workspace user accounts
If a workspace user enters login credentials incorrectly in a row, the user account gets locked. The status can be seen in the Edit member settings modal. As a Workspace Owner, you can unlock the account by unchecking the checkbox and clicking Save.
Remove a user
If a user no longer needs access, you can remove them.
To remove a user:
Go to Users Management.
Click the Delete (trash) icon next to the user.
Confirm removal.
Removing a user frees up a seat instantly.
Add more seats
If you have reached your seat limit, you will see a message such as:
“5 of 5 seats used.”
To increase your seat limit:
Click Add More Seats
Complete the subscription upgrade
Seats are available immediately after the update is processed.
View all users
All workspace members appear in the Users Management section with:
Name
Email
Department
Role
Status (Active or Pending)
This provides the Workspace Owner with a complete overview of user access and seat usage.
