Overview
This guide walks you through the translation workflow in Pergamon using its integration with the Impala Translation Services System. It is intended for translation teams and project managers to handle multilingual translation of approved documentation projects.
The translation workflow relies on a shared process between Pergamon and Impala Translation Services System. Pergamon handles the creation and management of source and target documents, while the Impala Translation Services System manages translation tasks such as XLIFF file handling and job tracking. Both systems are tightly integrated to create multilingual documentation.
The workflow involves the following key steps:
- Setting up and linking translation projects in Pergamon and the Impala Translation Services system.
- Translating content using XLIFF files.
- Updating and finalizing translated documents within the systems.

- A user account with Editor permissions or higher to create target language documents.
- Pergamon account legacy UI
- A user account with Editor permissions or higher to manage translation projects and import translated XLIFF files.
- Impala Translation Services System account
- User role with the following permissions:
- Access to translation projects.
- Download and upload XLIFF files.
- View and update translation job statuses.
- User role with the following permissions:
Translation Workflow
This section outlines the steps for managing translations in Pergamon (legacy and new UI) using Impala Translation Services System. The workflow requires switching between Pergamon (legacy and new UI) and Impala Translation Services System due to the shared workflow between the systems.
Before You Begin
- Translation begins once the source documents (part of a client writing project) are approved by the internal Quality Control (QC) team. Ensure that all source documents have passed the QC checks and are ready for translation.
- Log in to Impala Translation Services System in a separate browser tab or window. Navigate to the Projects page and locate your active translation project. Copy the Project ID and keep it handy to be pasted later in the Translation Project creation workflow.
1. Create Target Documents from Source in New UI
The first step in the workflow is creating a target language documents in the desired language using the Pergamon new UI.
To create target language document:
- Log in to Pergamon new UI.
- From the left sidebar, navigate to Projects > Documents.
- In the Documents Hub, locate the approved source document and click on the three vertical dots (ellipsis)
to open the contextual action menu.
- Click
Localize.
- From the Select Languages window, select target languages using one of the following methods:
- Predefined Language Group: Click on the Select language group dropdown menu at the top of the Available Languages list and select a predefined language group. The system automatically adds all the languages in the group to the Selected Languages pane on the right.
- Individual languages manual selection: Click the + icon next to individual languages in the Available Languages list to add them to the Selected Languages pane.
- After selecting the target language documents, click Confirm at the bottom.
This action creates the target language documents. Click on Show project documents to display the target language documents along with the associated source documents in the Documents Hub view.
For example, If you have created a target language document in Finnish (FI) language from EN-GB as the source language, the Documents Hub will display the Finnish Document as the Target alongside the EN-GB source Document.

Once the target language documents are created using the new Pergamon UI, switch to the legacy Pergamon UI to continue the translation workflow.
2. Create a Translation Project in Pergamon Legacy UI
The second step in this workflow is to create and configure a translation project in Pergamon legacy UI. This project will contain all the target language documents and details related to the translation.
To create a new translation project in Pergamon:
- Log into Pergamon legacy UI.
- Navigate to the Projects menu in the top menu bar and select Translations from the dropdown.
- Click the + button in the upper left corner to create a new translation project.
- Enter the required project details:
- In the Project Name field, enter a unique name for the translation project.
- Enter the Translation Project ID copied from your active project in Impala Translation Services System. Example, PRJ00042.
- In the Workflow Type dropdown, Translation Project is already selected by default.
- In the Source Type dropdown, select Document.
- In the Source Language field, select the source document.
Note: This is the document from which the target language documents were created. This action links the source document to the translation project and automatically populates the target language documents in the Destination Languages field. - Assign any additional project attributes as needed:
- Select a Project Manager from the dropdown.
- The assigned Project Manager will receive a notification about the project assignment.
- Set the Priority (e.g., Normal, High).
- Set the project deadline date in the Deadline field.
- Select a project category from the Category field dropdown.
- Select a Project Manager from the dropdown.
- Click Save to finalize and create the translation project.
You will see the new Project IP00004 created in the Pergamon Projects view as shown below:
View and Edit Project Attributes in Pergamon
After creating a translation project in Pergamon, you can view and edit the project details using the Project Attributes tab. This tab provides an overview of the project's attributes and allows you to update as needed.
To view the translation project attributes:
- Click on the Project ID in the Projects View list.
- View and edit the following fields:
Editable Fields:
- Project Name: Update the name of the translation project.
- Project Manager: Assign or change the project manager responsible for this project.
- Priority: Adjust the priority level of the project (e.g., "Normal," "High").
- Deadline: Modify the project deadline as required.
- Category: Add or update the category classification for the project.
Read-Only Fields:
- Project ID: The unique identifier for the project in Pergamon.
- Translation Project ID: The unique translation project identifier in Impala Translation Services System.
- Workflow Type: Displays the workflow type (e.g., "Translation Project").
- Source Type: Displays the project's content type (e.g., "Document").
- Source: Displays the source document for the project.
- Source Language: Displays the language of the source document.
- Creation Date: Displays the date the project was created.
- Include Pergamon TM?: Displays whether the Pergamon Translation Memory (TM) is included.
- To make changes, update the editable fields as required and click Save to apply the changes.
View and Manage Translation Jobs in Pergamon Legacy UI
After you create a translation project in Pergamon, the system automatically sends the translation request to Impala Translation Services System. You can use the Translation Job tab in Pergamon to view details about the translation job, monitor its status, and manage the job as needed.
To view translation job details:
- Click on the
tab.
- View the following details:
- Job ID: The unique identifier for the translation job in Pergamon.
- TP ID: The unique identifier for the translation job in Impala Translation Services System.
- Target: The target language for the translation.
- Status: The current status of the translation job (e.g., "Sent to TMS").
- Words: The number of words in the translation job.
- Content:
- View the number of content items to be translated.
- Download the XLIFF file for offline translation or reference.
- Action Button: To cancel the activated translation job.
3. Manage Translation Project in Impala Translation Services System
After creating a translation project in Pergamon, you can manage the associated translation jobs in Impala Translation Services System. This workflow outlines how to locate the project, edit job attributes, work with translation files, and update the job status to reflect progress in both systems.
View Translation Projects in Impala Translation Services System
- Open the Impala Translation Services System and navigate to Projects in the left sidebar.
- Locate the active translation project using the Translation Project ID and click the arrow icon
next to the Project ID (e.g., PRJ00042) to expand the project.
Note: This is the same ID that was copied during the creation of the translation project in Pergamon. - Review the list of translation jobs associated with the project. Locate the specific translation job by its Job Code (e.g., CL00385) and click the Job Name to open the job details.
Manage Translation Files and Update Job Status
- In the job details window, under the Core tab:
- Review or update fields such as the source language, target language, rate, workflow steps, and start or end dates.
- Click Save to apply the changes.
- Navigate to the Files tab in the job details window.
- Download the XLIFF file to your local system:
a. Locate the file and send it to the translation team. - After receiving the updated XLIFF file:
- Upload the translated file back to the Impala Translation Services System using the Select project files button in the Target folder.
- Click Save to finalize the upload.
Note: Uploading the updated XLIFF file changes the job status to Active.
- Return to the Projects page and click on the Project Name associated with the translation project.
- Under the project details, locate the individual translation job by its Job Code or ID.
- Update the job status in the Status column on the right. Use the dropdown menu to change the status (e.g., "Active," "Delivered," "Completed").
Updating the status in the Impala Translation Services System to completed will automatically synchronize the job status in Pergamon.
Import Translated Files in Pergamon
- Open the Translation Job tab in Pergamon and locate the corresponding job by its Job ID.
- Confirm that the Status is updated to "Ready for Import" in Pergamon.
- Under the Action Button column, click Import to begin importing the translated XLIFF file.
- In the confirmation window, verify the action and optionally add a Version Message or description.
- Click the checkmark to confirm and start the import process.
- Once the import is successful, a confirmation message will appear showing:
- The number of content items updated.
- An option to download the Import Summary File.
- Click the Download Report icon to save the summary file.
- The summary file contains details about the content IDs updated, the number of items processed, and the languages imported.

- Click OK to close the confirmation window.
Import Complete
The translation job status in Pergamon updates to Imported after the import process is successfully completed. This indicates that the translated content is now integrated into Pergamon and available for use.
Glossary
Impala Translation Services System
A project management system used to manage translation projects, track progress, and synchronize statuses with Pergamon.
CAT Tool (Computer-Assisted Translation Tool)
A software application used by translators to edit, manage, and store translations. CAT tools often work with XLIFF files.
Job Code (Job ID)
A unique identifier for individual translation jobs in the Impala Translation Services System. For example, CL00385.
Project ID
A unique identifier for translation projects in both Pergamon and Impala Translation Services System. For example, PRJ00042.
Target Language
The language into which the content is being translated.
Translation Job
A task associated with a specific translation project that involves translating content into one or more target languages.
Translation Memory (TM)
A database used in translation workflows to store and retrieve previously translated content for reuse.
XLIFF (XML Localization Interchange File Format)
A standard file format used for exchanging translation data between systems. Translators edit XLIFF files in CAT tools or XLIFF editors.
