Overview
This guide shows you how to manage the translation workflow in Pergamon using its integration with the Impala Translation Services System. It is designed for translation teams and project managers who work with multilingual client documentation.
The workflow integrates Pergamon and the Impala Translation Services System:
Pergamon manages the creation and organization of source and target documents.
Impala Translation Services System manages translation tasks, including XLIFF file processing and job tracking.
Together, the systems support efficient multilingual documentation.
Workflow steps
The translation workflow includes three main stages:
Set up and link projects in Pergamon and the Impala Translation Services System.
Translate content using XLIFF files.
Update and finalize translations in both systems.
Prerequisites
Make sure you have the following accounts and permissions:
Pergamon account with Editor permissions or higher. This role allows you to:
Create target language documents.
Manage translation projects.
Import translated XLIFF files.
Impala Translation Services System account with a role that grants:
Access to translation projects.
Ability to download and upload XLIFF files.
Ability to view and update translation job statuses.
Translation Workflow
This section shows you how to manage translations in Pergamon using the Impala Translation Services System. The workflow requires switching between both systems at key points.
Before you begin
Make sure the following conditions are met before you start the translation workflow:
All source documents have been approved by your organization’s Quality Control (QC) team.
The documents have passed QC checks and are ready for translation.
You are logged in to the Impala Translation Services System in a separate browser tab or window.
From the Impala Translation Services System:
Go to the Projects page.
Locate your active translation project.
Copy the Project ID. You will need to paste this later when creating the translation project in Pergamon.
1. Create Target Documents from Source
The first step in the workflow is to create target language documents in Pergamon.
To create target language document:
- Log in to Pergamon.
- In the left navigation sidebar, go to Projects > Documents.
In the Documents Hub, locate the approved source document.
Click the More actions
menu (three vertical dots).
Select Localize
.
- In the Select Languages window, choose target languages using one of these methods:
- Predefined language group: From the Select language group dropdown, select a group. The system automatically adds all languages in the group to the Selected Languages pane.
- Individual languages: Click the + icon next to a language to add it to the Selected Languages pane.
After selecting the target languages, click Confirm.
Note 1: The Create translation project checkbox is selected by default. When you confirm the target languages, Pergamon automatically creates the target documents and opens the window to create a new translation project.
After the target language documents are created, continue by creating a new translation project in Pergamon.
2. Create a Translation Project in Pergamon
The second step in the workflow is to create and configure a translation project in Pergamon. This project contains all target language documents and related translation details.
After you click Confirm to create target language documents, the Create Translation Project screen appears.
To create a new translation project in Pergamon:
Enter the required project details and click Next.
Project name: Enter a unique name for the translation project.
Translation Project ID: Paste the Project ID copied from your active project in the Impala Translation Services System (for example,
PRJ00042).Include Pergamon TM: This option is selected by default.
Source document ID: Automatically displayed along with the project creation date.
Workflow type: The translation service system is preselected by default.
- Review the target languages displayed, then click Next.
- Enter additional project attributes:
PDF layout: Select a layout for the target documents.
PDF print preset: Select a print preset.
Deadline: Set the project deadline.
Project Manager: Select from the dropdown. The assigned manager receives an email notification about the assignment.
Priority: Choose a level (for example, Normal or High).
Category: Select from the dropdown.
Translation processing instructions: Enter any notes as needed.
- Click Create to create the translation project.
- Click Open Translation Project to view the project details.
View and Manage Translation Jobs in Pergamon
After you create a translation project in Pergamon, the system automatically sends the translation request to the Impala Translation Services System.
You can use the Translation tab in Pergamon to:
View details about the translation job.
Monitor job status.
Manage the job as needed.
To view translation job details:
- Click the Translation tab.
Review the following details:
Job ID: Unique identifier for the translation job in Pergamon.
TP ID: Unique identifier for the translation job in the Impala Translation Services System.
Target: The target language for the translation.
Status: The current status of the translation job (for example, Sent to TMS).
Words: The number of words in the translation job.
From the More actions
menu (three horizontal dots), you can:
View: See the number of content items to be translated.
Download XLIFF: Download the XLIFF file for offline translation or reference.
Cancel: Cancel the activated translation job.
View and Edit Project Attributes in Pergamon
You can view and edit the project details through the Details tab. This tab provides an overview of the project's attributes and allows you to update as needed.
To view the translation project attributes:
Click the Details tab.
Review or update the following fields:
Editable fields
Project name: Update the name of the translation project.
Project manager: Assign or change the project manager responsible for this project.
Priority: Adjust the project’s priority level (for example, Normal or High).
Deadline: Set or modify the project deadline.
Category: Add or update the category classification.
Read-only fields
Project ID: Unique identifier for the project in Pergamon.
Translation Project ID: Unique identifier for the project in the Impala Translation Services System.
Workflow type: Displays the workflow type (for example, Translation Project).
Source type: Displays the project’s content type (for example, Document).
Source: Displays the source document for the project.
Source language: Displays the language of the source document.
Creation date: Displays the date the project was created.
Include Pergamon TM?: Displays whether the Pergamon Translation Memory (TM) is included.
Update the editable fields, then click Save to apply your changes.
3. Manage Translation Project in Impala Translation Services System
After creating a translation project in Pergamon, you can manage the associated jobs in the Impala Translation Services System. From this system, you can:
Locate and open the linked translation project.
Edit job attributes.
Download and upload XLIFF files.
Update job status to reflect progress in both systems.
View Translation Projects in Impala Translation Services System
To locate and open a translation project:
Open the Impala Translation Services System.
Go to Projects in the left sidebar.
Locate the active project using the Translation Project ID and click the arrow icon next to it (for example,
PRJ00042).
Note: Use the same Translation Project ID copied when you created the translation project in Pergamon.- Review the list of translation jobs associated with the project.
- Locate the specific translation job by its Job Code (e.g., CL00385) and click the Job Name to open the job details.
Manage Translation Files and Update Job Status
To work with translation files and update job status in the Impala Translation Services System:
In the job details window, go to the Core tab.
Review or update fields such as source language, target language, rate, workflow steps, and start/end dates.
Click Save to apply changes.
- Go to the Files tab.
- From the Source folder, download the XLIFF file to your local system and send it to your translation team.
After receiving the updated XLIFF file:
Upload the file back to the Impala Translation Services System using the Select project files button in the Target folder.
Click Save to finalize the upload.
Note: Uploading the updated XLIFF file automatically changes the job status to Active.
- Return to the Project page and click on the same Project Name associated with the translation project.
- Under Project tasks, locate the individual translation job by its Code ID or Job name.
- In the Status column, use the dropdown menu to update the job status (for example, Active, Delivered, or Completed).
- Update to status to Completed.
Note: Updating the status to Completed in the Impala Translation Services System automatically synchronizes the job status in Pergamon.
Import Translated Files in Pergamon
To import translated XLIFF files into Pergamon:
- Open the Translation Job tab in Pergamon and locate the corresponding job by its Job ID.
- Confirm that the Status is updated to Ready for Import in Pergamon.
- From the More actions menu (three horizontal dots), click Import to import the translated XLIFF file.
In the confirmation window, click Confirm.
A success message appears at the bottom of the screen (for example, XLIFF accepted successfully).
The translation job status in Pergamon updates to Imported once the process is complete. This confirms that the translated content is now integrated into Pergamon and available in the target document.
From the More actions menu (three horizontal dots), you can also:
View the imported content.
Download XLIFF for reference.
Glossary
- Impala Translation Services System
A project management system used to manage translation projects, track progress, and synchronize statuses with Pergamon. - CAT Tool (Computer-Assisted Translation Tool)
A software application used by translators to edit, manage, and store translations. CAT tools often work with XLIFF files. - Job Code (Job ID)
