The Rearrange mode allows you to move and reorder content blocks to different positions of the same document.
In Rearrange mode you can:
- Move an entire section (parent block), including all its nested blocks (child blocks), by selecting its heading
- Reposition individual blocks one at a time
- Duplicate content to another position in the same document
- Undo any move or copy in a single step
Enter Rearrange mode
Click Rearrange in the left action bar. The editor switches from the document view to a condensed list, where every content block collapses to a single row.
The Rearrange button in the left action bar.
Note
The Save button is unavailable while Rearrange mode is active. Leave Rearrange mode to save your document.
What you see in Rearrange mode
In Rearrange mode, every content block collapses to a single row. Reading left to right, each row shows:
- A checkbox for selecting the block
- A type badge indicating whether the block is a heading (H1 to H6), text (T), or a table
- The content ID as the identifer of
- An eye icon for previewing the block's content on hover
- A globe icon marking the block as global content
- The applied paragraph style name
- A preview of the block's opening line
Heading rows show two additional elements on the right:
- A child count showing how many blocks are nested beneath the heading
- A chevron for collapsing or expanding the section
The diagram below identifies each element in a heading row.
Select content
Select a whole section (Parent block)
Select a heading's checkbox to select the heading and every block nested beneath it. The right panel shows the total number of items selected and lists their content IDs.
Note
While a parent content block is selected, the checkboxes of its nested blocks are locked. You cannot remove an individual block from a section selection. To move a single block on its own, deselect the parent block heading first.
Select individual blocks
Select the checkbox of any child block that is not a parent block (heading) to add it to your selection. Blocks you select this way must sit next to each other in an unbroken run. You can extend the run at either end and remove blocks from either end, one at a time.
Clear a selection
Select a heading's checkbox again to deselect the section. Select an individual block's checkbox again to remove it from the run.
Reorder (move) content to a new position
- Select the heading or blocks you want to move.
- Click Cut (the scissors icon) in the right panel.
- Scroll to the position where you want the content to go. Available positions appear as a + marker between blocks.
- Click the + marker to move the content there.
Insertion points appear as a plus marker between blocks. Hover to see the Insert here tooltip.
Info
Only valid positions are shown. A section can be moved only to a position where a heading at the same level is allowed, so you cannot drop a whole section into the middle of another section. Individual blocks can be placed almost anywhere, including inside a different section.
Cancel a move
While a move is pending, the Cut button shows an X badge. Click Cut again to cancel and clear the selection.
Copy content to another position
Copying works the same way as moving, except the original content stays where it is.
- Select the heading or blocks you want to copy.
- Click Copy in the right panel.
- Scroll to the position where you want the copy to go.
- Click the + marker to place the copy there.
Note
If the Copy option is unavailable after you select a content block, the block is a fully restricted global content block. These blocks cannot be converted to local content or deleted, so they cannot be copied either, since a copy could never be removed. To learn more, see Global content restrictions.
Tip
Nothing is copied until you click an insertion point, so you can click Copy and change your mind at no cost. Click Copy again to cancel.
Locked content (Global)
A globe with a padlock means the block's content is locked for editing in this document. This is common for global content that is shared across several documents and maintained centrally.
Locked blocks can still be reordered. The padlock refers to editing the text inside the block, not to its position in the document.
Undo a move or copy
A completed move or copy counts as a single step in the document's history. Click Undo in the left action bar to reverse the whole operation in one action, however many blocks were involved.
Leave Rearrange mode
Click Rearrange again, or click the X badge on the Rearrange button, to return to the editor. Your changes remain in the document.
Warning
Rearranging content does not save the document. Click Save after leaving Rearrange mode to keep your changes.
Rearrange mode applies to the document you are working in. It turns off automatically when you leave the document, so the next document you open starts in the editor.
